Supply Chain Receiving & Shipping Coordinator
Location: 35 minutes from Warsaw
5 days a week on site
Shift pattern to be confirmed (4x10)
Our client is very well established in the Data Centre space, in the US & Europe markets – they have joined forces with another very well-known client and invested in a manufacturing centre in Poland. In this space, all manufacturing for the Data Centres will take place.
This job spec is inclusive of duties to include all areas, although some duties may not be listed, we also encourage a phone call with myself to explain the role and business in more detail as there is a lot of points which can’t transfer over a job spec!
Role Overview
The Supply Chain Receiving & Shipping Coordinator is responsible for managing all inbound and outbound material activities within a manufacturing or distribution environment. This role ensures the accurate receipt, inspection, storage, inventory control, packaging, and shipment of materials to support operational requirements and customer delivery timelines.
This position plays a key role in maintaining inventory accuracy, ensuring on-time delivery performance, and supporting efficient material flow across the operation. Working closely with Operations, Supply Chain, Quality, and Production teams, the successful candidate will contribute to a safe, organised, and high-performing warehouse environment.
Key Responsibilities
- Receive incoming materials, components, and equipment in line with company procedures.
- Verify deliveries against purchase orders, packing slips, and receiving documentation.
- Inspect inbound materials for accuracy, identification, and any visible damage.
- Coordinate with Quality and Supply Chain teams on inspection requirements and material disposition.
- Process inventory receipts and transactions accurately within ERP systems.
- Label, store, and manage materials within designated warehouse locations.
- Prepare and package outbound shipments in accordance with internal and customer requirements.
- Coordinate domestic and international shipments with carriers, freight forwarders, and logistics providers.
- Generate shipping documentation including packing lists, bills of lading, labels, and export paperwork.
- Track shipments and provide updates to internal stakeholders and customers.
- Maintain high levels of inventory accuracy through disciplined material handling and system transactions.
- Support cycle counts, stock audits, and inventory reconciliation processes.
- Assist with kitting and staging materials for production or project requirements.
- Follow all health & safety policies and warehouse operating procedures.
- Operate forklifts, pallet trucks, and other material handling equipment safely.
- Contribute to continuous improvement initiatives within warehouse and logistics operations.
- Collaborate with cross-functional teams including Production, Planning, Procurement, and Quality.
Skills & Experience
- Strong understanding of warehouse operations, including receiving, shipping, and inventory control.
- Experience using ERP or warehouse management systems for inventory and logistics transactions.
- Knowledge of shipping documentation, freight coordination, and logistics processes.
- Ability to read and interpret purchase orders, packing slips, and shipping documentation.
- High attention to detail with strong organisational skills.
- Ability to manage multiple tasks and priorities in a fast-paced environment.
- Strong communication and teamwork capabilities.
- Competent in Microsoft Office applications including Excel, Word, and Outlook.
- Understanding of material handling processes and safe warehouse practices.
- Ability to identify and resolve discrepancies in inventory or shipments.
- Knowledge of lean principles and continuous improvement practices is advantageous.
Qualifications
- Degree or equivalent qualification in Supply Chain, Logistics, Operations, or a related field preferred.
- 3–5 years’ experience in shipping, receiving, warehouse, or supply chain operations.
- Experience within manufacturing, industrial, or distribution environments is desirable.
- Hands-on experience with ERP or inventory management systems is required.
- Forklift certification (or willingness to obtain) is preferred.
- Experience with domestic and international shipping processes is advantageous.
- Familiarity with inventory control, cycle counting, and warehouse organisation best practices is beneficial.
